Taking blood pressue

The practice uses locum doctors from time to time to provide cover when the principal GPs are on holiday or absent.

Direct telephone contact with clinicians is by appointment only, usually at the request of the clinician. Requests for information or messages to the doctors at either location are normally dealt with by the secretary or by the reception team.

The practice is overseen by the Executive Manager, Mrs Amanda Edwards

Administration Team

Supporting the clinicians is a dedicated team of staff who take on a variety of administrative roles.

Reception

Ensuring the smooth operation of the practice, a team of eight receptionists cover the office opening hours at Willerby and a further two receptionists provide cover at Swanland.

At Willerby, the reception team is available from 8.00am to 6.00pm - including lunch times - Monday to Friday.

At our Swanland branch the reception is open from 9.00am to 1.00pm Monday, Wednesday and Thursday mornings. Afternoon opening is 2.00pm to 6.00 Monday, Wednesday and Thursday afternoon.

Swanland is closed all day Tuesday and Friday but you can contact the Willerby Practice.

Working on our computers

The reception team book appointments, arrive patients, answer queries and manage repeat prescription requests. They are trained and required to field telephone calls for clinicians, pass on test results and generally signpost patient queries to the appropriate person or organisation.

Secretaries

At Willerby Surgery, the secretaries cover each morning from 8.00am to 12.00noon and between them field calls and queries for the doctors as well as dealing with all correspondence (in and out), maintaining home visit requests and tracking patient referrals.

In Swanland Surgery the secretary, who works less hours, provides similar service. Where it is needed, cover to Swanland is provided from Willerby Surgery. Messages for the doctor/nurse at Swanland are routinely passed on through the reception team

Health Promotion and Data Input

Other key support roles are in administration and health promotion. There is a massive amount of data - electronic and paper - which has to be organised and processed. This includes ensuring new patients registrations are managed, clinical notes are prepared, recall clinics are arranged and relevant data is scanned and coded to patient records.

Most of the correspondence received about patients from other healthcare providers is read, actioned and then captured to individual patient notes.

These functions are managed across both surgeries by a data-input team - and the common clinical system means the clinicians can see their patient records at either location.
